Connection Configuration – BigCommerce

The connection configuration allows you to set up the synchronization with a great amount of flexibility, depending on your requirements. You can access the configuration after creating a connection successfully, or by navigating to your connection from the left menu bar and choosing Sync Setup.


Last Order Date

The synchronization between BigCommerce and your Xero organization looks at all newly created orders but also looks at previously detected orders that were synchronized. StoreXConnect will not only check for newly created orders, but also orders that had been modified in the Online store. If any changes are detected, they will be updated in your Xero tennant based on the rules you have set up.

Note that the flow of order update information is only from your online store to your Xero organization. No information is synchronized from your Xero system to your online store except for inventory stock values if this was enabled.

this date is used as the date from which the system will look for any new orders

Inventory item Configuration

This section is used to configure how Inventory or Invoice line items should be handled in the transfer from BigCommerce to Xero.

Use Xero Item Code based on SKU
If you are using the Item Codes in Xero, switch on this item. The SKU from BigCommerce will be matched to the item code in Xero. If the item code does not exist in Xero (SKU exists in BigCommerce), the item code will be created in Xero
Xero Account Code for Line Items
The Account code will be used for line items on the invoice where the use of Xero Item Code is swicthed off (previous setting). New orders will be created with this account code on the Invoice. If you are using the Xero Item Code, the account from Xero will be used. If you have set to use the Xero item codes, the Account Code will be used when new items (SKU in BigCommerce is not found on ItemCode in Xero) are created in Xero
Xero Tax Type for Line Items
The Tax Type will be used for line items on the invoice where the use of Xero Item Code is swicthed off (previous setting) and where the Tax Code in SXC is set to overwrite the Tax Code in Xero (next setting). If you are using the Xero Item Code, the account from Xero will be used unless you use the override option below. If you have set to use the Xero item codes, the Tax Type will be used when new items (SKU in BigCommerce is not found on ItemCode in Xero) are created in Xero.
Overwrite the Tax Code in sxc Item Tax Regardless of Tax Code linked in Xero
Use this option if you want to override the Tax Code in Xero with the Tax Code you selected in the option above.
Synchronise Stock Items from Xero to BigCommerce
Use this option if you want the Orders in BigCommerce to be transferred to Xero periodically. Updates are run every 20 minutes. Your BigCommerce connection must be set to Read/Write in BigCommerce for this setting to work
Synchronise Order to Invoices from BigCommerce to Xero
Use this option if you want the Orders in BigCommerce to be transferred to Xero periodically. Updates are run every 20 minutes

Shipping Configuration

This section is used to configure how shipping line items should be handled in the transfer from BigCommerce to Xero.

Xero Item Code to be Used for Shipping
Use this option if you want the code defined in the next line to be used as a Shipping Code in Xero. This function is usefull if you have set up a Shipping item code in Xero with an associoated account and other settings. If set to yes, and the code does not exist in Xero, the item will be created on first use in Xero by StoreXConnect.
BigCommerce Item Code for Shipping
Item Code to be Used in Xero for Shipping if Enabled
Xero Account Code for Shipping
Account code to be used for Shipping Items in Xero if the Xero Item Code is not set
Xero Tax Type to be Applied for Shipping
Tax Type to be used for Shipping Items in Xero if the Xero Item Code is not set. Note that the Xero Tax Type will be overwritten if the overwrite option is set from the previous section

Payment Account Code Mapping

This section allows you to set up which Account code to use when an invoice is received from BigCommerce and the Payment Description matches the description provided here. You can have multiple methods of payment set up in BigCommerce. Use this option to match the Methods of Payment in BigCommerce to an Account Code in Xero.

Note This is only required if you need a payment to be created associated to an invoice.

Xero Payment Account Code
The Xero Account Code to link to the Payment

BigCommerce allows for cutomizations where the payment method is not listed as an item but does get sent through the integration. StoreXConnect can detect this payment method tag if you manually specify the payment method that is sent through the integration.

Use the manual payment override for this option.


Invoice Creation Settings

This section specifies if the Order ID should be populated in the Xero Invoice Field or Reference field. You can also specify a prefix to add to the Order ID from BigCommerce when creating the Invoice in Xero.

Use BigCommerce Order Number Reference In
Specify if the BigCommerce Order Number should be populated in the Xero Invoice Number field or Reference Number. Be careful when using the Invoice Number as duplicate Invoice Numbers will cause an error.
Add Prefix to BigCommerce Order Number
Add a prefic to the Order Number transferred from BigCommerce to Xero. An example of such a prefix may be WC000.
Have Xero Calculate Tax or Enter Tax Values from BigCommerce
This setting will ignore any tax settinmgs from StoreXConnect or Xero and overwrite Tax values with the Tax values from BigCommerce
Xero Account Code for Rounding Differences
The rounding account is used to attribute and values where the BigCommerce total differs from the Xero total. The BigCommerce total is always taken as the correct value and the rounding value is added to Xero to match the totals of the order and the invoice

Invoice Due Date Settings

This section allows you to specify how the due date is handled. It can be left blank to be handled by Xero or specified here to be populated in Xero

The mechanism to be used to determine the due date (you may choose to default the configuration within Xero).
Due Date value that must be used
This offset is relevant based on the selection in the previous section

Workflow

The bottom of the configuration page contains a number of sections where workflow can be configured based on your preferences of how orders must be handled.

The workflow is configured based on selecting an action depending on the Xero status and the BigCommerce status.

The action is dependent on what is allowed for that specific Xero and BigCommerce status. The Xero statuses covered by StoreXConnect are:

  1. New Invoice (not yet created)
  2. Invoice in DRAFT status
  3. Invoice in SUBMITTED status
  4. Invoice in AUTHORISED status
  5. Invoice in PAID status
  6. Invoice in VOIDED status
  7. Invoice in DELETED status

An action is mapped to each of these statuses based on a status in BigCommerce.

Note that the Alert function adds a record to the Open Errors report that is accessible on the dashboard.
